She Thinks Your System’s Sexy – Real Estate Agents Need Systems

Without having a great system for everything you do, it all becomes a disorganized mess rapidly. So how do you develop a system for what you’re doing? Here are 3 great tips for setting up some seriously sexy systems in your business for working with real estate clients.

  1. For everything you do create a log. This log is a live document that shows the step for every action you take when doing the work. By having a living document you can update as you need to and it will eliminate tasks or steps falling through the cracks.
  2. Develop a document library. When you have a library of contracts, checklists, a letter library, and a set filing system it just makes everything easier. It makes client intake processes less painful for both of you, and your agent will appreciate that you have exactly what they need to get up and running quickly.
  3. Develop a plan for how the work will be handled. If you have a team, this means who does what. If it’s just you and one agent, then you need to determine who is responsible for what in the beginning so there is no confusion.

Good Real Estate VAs Don’t Steal Content

Often times as a REVA, you are expected to help create content for your clients blogs and websites, as well as your own. It usually takes hard work and a dose of creativity to come up with original articles and page content. Nothing makes my blood boil more than when you find that your carefully crafted content or images posted  by someone else  on their website passing as their own. Content theft is plagiarism. Plagiarism is wrong and illegal. Whether you are a new VA or a veteran, I want you to take note of the following two rules.

1. Do not steal or plagiarize content from another source and use it as your own (or your clients).

You would think the above would go without saying. But to this day I still see a number of VA’s, mostly new ones, getting caught having plagiarized content on their websites, or have done so for their clients. For one, it gives VA’s a bad name and certainly can make their clients look bad, not to mention the legal trouble they can be in.

To me, it is such a common sense thing. Doesn’t everyone know that that plagiarism is wrong? When it happens, I find that many people plead ignorance. I have witnessed people actually say, “because it is on the internet,  it is fair game to copy”. That couldn’t be further from the truth. Just look into the Digital Millennium Copyright Act (DMCA) for yourself. Intellectual property is nothing to mess with and you could end up serious legal trouble. People new to the business may not think that they can be caught and that is why they do it. But with tools like Copyscape.com, they can and will be caught easily.

2. Do not copy images off the web to use for blog or site content without proper permission, source citation or otherwise.

Similar to #1 above, this is another intellectual property issue. It is a bigger deal than most people realize. For some reason, there are many people who don’t realize that like written content, images are also copyrighted intellectual property and subject to the same rules under DMCA. It is wrong and considered stealing if you copy images that you do not own and post them to your sites and blogs without license, permission, attribution, etc.  Most images you see around the internet are the intellectual property of someone out there and you can land in legal hot water on this one.

For blogging in particular, it has been widely taught that it is always important to include an image with your blog post to capture more visual interest for your posts.  Some bloggers that may be ignorant to the intellectual property issues at hand, have gotten into the habit of searching Google Images for pictures and posting them to their blog, thinking that it was ok. They thought they were “public domain”. Such actions has over time have landed many of them in legal trouble. Check out some examples, Here and Here.

Even if the copyright infringement had been done innocently or unknowingly, that still will not release you from liability. Getty Images, Inc., a huge source of many photos you see out there, are some of most notorious about defending their intellectual property. It is not uncommon for them to send letters to offenders demanding $800-$8000 in settlement even if it was done unknowingly.

A few key things to note about using images:

  1. Google Image Search, Facebook, Pinterest, etc, are NOT good sources for images. It is highly likely those images are the intellectual property of someone else. If you have done this in the past, we advise you to go back through and change out your images to those that you own or have license to use.
  2. If you want free images, search sites like Flickr for images that have Creative Commons licenses that give you the ability to use them freely (with proper sourcing and attribution of course)
  3. Purchase royalty free stock photos that you can use. You can find inexpensive stock photos at istockphoto.com or photoxpress.com
  4. Try to mostly use images you personally own or have been created by you.
  5. if the images are not your own, be sure cite the original source of an image you use, but that does not necessarily mean you are protected from copyright infrigement.

So when you are creating new content for your website and blog, or that of client’s, don’t succumb to the temptation copying the content of others. Don’t copy and take images that you don’t own and place on your sites without permission, attribution. Many think that they won’t get caught. But I assure you, there are many ways to be found out.

Like I mentioned above, just because it is on the internet, does not mean it is free for the taking. Don’t be content thief.

Find Your VA Niche: New Skills Make You More Marketable

Specialize in a niche and open up a target market of people that really need you!

One of the many things that VAs can do to increase their value to clients and potential clients is to learn new skills and specializations. When you have a larger skill set it makes you more valuable, more marketable, and widens your potential client base. However, one common pitfall you may want to avoid is to market yourself as a generalist or  ”Jack (or Jill) of all trades”.

Trying to be everything to every client out there does not work. As the saying goes, a Jack of all trades and master of none, is not what you want to be known for. What would be best for you is to select your ideal target market, specialize in that VA niche and allow for other skills that will complement what you plan to do with your business.

When you brand yourself as an expert you inspire trust in those you work with. For example, you can work in the real estate industry and you may only choose to do transaction coordination or listing coordination. Those are your specialties. And of course, you may choose to work on everything from listing to closing for your clients but still have a specialty in those areas.

Specializing makes you much more valuable to your clients and creates a reputation that is strong in the industry.

Mind Over Matter

A positive mindset is an essential factor when you are the owner of a business. There will be ups and downs, periods of feast or famine, and there will be times when you wonder what you were thinking when you decided to open your own business. The only way you will overcome these challenges is to have a positive mindset.

Here are some tips to help you overcome what is blocking your positive mindset:

  • Create a list of positive statements about yourself and read them to yourself every day. Feel them as you read them.
  • Envision your perfect day and everything in it so that you know and remember exactly what you are working for
  • Compile a file with positive quotes to read
  • Look up inspirational videos on You Tube. They elevate your thinking
  • Read over positive reviews and testimonials from current and past clients
  • Think about a moment in time when you were very excited or happy. Close your eyes and go back to that day in your mind
  • Compile a list of blog posts that inspire you so that when you’re feeling low you can go back to them to re-read them
  • Take a break and rejuvenate, then get back to work

Stretching your mind and your skills is not easy. It’s not meant to be. That is how we accomplish growth as a business and as an individual. And remember, everyone is their own worst critic, so chances are you are in a better place than you believe. The key is to find your way back to positive thinking and truly feeling it within.

You Are Your Best Asset

There seems to be a lot of talk about starting up your business on a bootstrap budget, but the reality is that although it is possible, it will certainly make it more difficult to realize your income goals unless you take the time to add to your skill set on a regular basis. Investing in your business, which in turn means yourself, is the best investment you can make.

I just read an article in Inc. Magazine which was discussing the difficulties people are having in finding the talent they need to move forward in the new business climate. Of these jobs, marketing and web developing were included, as were graphic design. These are the skills that are driving the new business environment and why owning your own virtual assistant business makes great sense.

Now, as that relates to real estate, these same skills are in high demand as agents and companies struggle to add online marketing to the ever expanding list of things they have to do just to get a client to list and sell their home with them. It makes perfect sense that those tasks on their list be outsourced, freeing their time to work with more clients. After all, if they have the tools and are getting the job done, they have the upper hand when it comes to their market.

Most agents are using social media on some level to communicate to their target market and to expand their referral network, but in order to do so effectively they need some help with some portion of the tasks they handle every day.

Keeping Up Your Energy When Clients Aren’t Knocking Down Your Door

It can get very frustrating waiting for your first client, or even for new clients, and when that happens it is easy to have a lower energy level.  It’s hard to imagine that at some point you’ll be busy enough to turn clients away, but it will happen if you put the time and effort into your business now.

 

But until that wonderful day comes for you, here are a few pointers to help you relieve some of the frustration!

  1. Step away from the computer. No will get hurt and you’ll come back much more refreshed and ready to dig into some more research and marketing.
  2. Go for a walk if the weather permits. Getting a little exercise as opposed to checking your email constantly is going to help you physically and mentally. It clears out the cobwebs and gives you fresh ideas!
  3. Make a lunch date with a family member or friend. When you get busy there really won’t be time to get out of the house during business hours. So enjoy the time while you can spare it. Even if you spend 4 hours per day marketing, you still have time for that lunch date!
  4. Get everything around you as organized as possible. Moving gets your blood flowing, and getting organized now will save you immense aggravation later. Even if you are working from the dining room table you will need some place that no one bothers your business related stuff.
  5. Take time to write down all those wonderful ideas you have bouncing around in your head. At some point you will be able to implement them, and it’s best to have it written down before you forget.
Keeping your energy up and your frustration low can be a difficult task, but it is possible. Just as there will come a day when you have too much to do!
